FAQ

When will I know if my proposal is selected?

All submitters and speakers should expect to hear from us in early February with the status of your submission(s). Our team will be sending out an update in mid-December with important information and any next action items needed before selections are made.

How will sessions be selected?

A group of ASUG Volunteers and other SAP Customers are faced with the difficult task of reviewing all proposals received. Final selections will be made by ASUG Education along with the Content Committee, made up of Volunteers.

How many sessions will be selected?

There are roughly 500 sessions that are selected to be presented at ASUG Annual Conference. There are also alternate sessions that will be selected to replace any cancelled sessions.

What if I need to make a change to my submission?

The system will not allow for changes to be made once the Call for Presentations has closed. If you have a change that could impact whether or not your submission could be selected, like adding a customer speaker, please email speakers@asug.com.

All selected speakers will be able to make changes to their sessions once the status notifications are sent in early February.

What are the requirements in order to be an ASUG speaker?

  • All selected speakers must be ASUG members in good standing in order to present (Speaker Membership Policy).
  • All selected speakers must register for the event by date specified by ASUG Education (Speaker Registration Policy).
  • All selected speakers must provide presentation materials for review and distribution in advance of the conference by the date specified by ASUG Education.

Do I need to be an ASUG member to submit a proposal?

You do not need to be a member to submit a proposal for 2019 ASUG Annual Conference, but per our Speaker Membership Policy, all speakers are required to be active members of Americas’ SAP Users’ Group (ASUG) in good standing to present at ASUG events.

If your submission is accepted for 2019 ASUG Annual Conference, you will need to confirm membership to speak. Non-member accepted proposals will be placed into a pending status until membership is confirmed. If it is not confirmed by the given deadline, we will have to move forward with replacing the session.

Will ASUG pay for my accommodations if I am selected to speak?

All speakers are responsible for their own lodging and travel. These expenses are not included within any complimentary or discounted registration invites and will not be covered by ASUG.

Can I submit multiple proposals? / Can I submit to multiple tracks?

You should not submit the same abstract multiple times as this will not increase your likelihood of getting your session chosen. Submit to the track that best fits your topic and tag any additional tracks you would want to consider your session. Duplicate abstracts will be deleted and only the first submission will be considered.

Our volunteers will be looking at quality of each individual proposal, rather than the number submitted by a particular speaker, company, etc. Last year we received over 2,000 submissions for roughly 400 speaking slots, so make sure you are focusing on the quality of your proposal before submitting.

Speaker Terms + Conditions

ASUG Speaker Membership Policy

All speakers are required to be active members of Americas’ SAP Users’ Group (ASUG) in good standing in order to present at ASUG events. Non-member speakers will need to confirm membership in order to be accepted as a speaker for the event. Complimentary or discounted registration invites will be withheld until membership is confirmed.

ASUG Speaker Registration Policy

All speakers must be registered for the event by the date specified upon your acceptance. Failure to meet this requirement may result in the cancellation of the session and revocation of any complimentary or discounted registration benefits.

Complimentary and Discounted Registration Eligibility

Our complimentary and discounted registration eligibility only applies to SAP Customer and Partner speakers. SAP employee speakers will receive an invite to attend in alignment with SAP's registration policy for employees.

Presentations with an SAP Customer:

  • If there are only SAP Customer speakers listed, there will be up to two complimentary registration invites available. Any speaker that does not receive a complimentary registration invite will receive a discounted registration.
  • If there is an SAP Customer and an SAP Partner speaker listed, there will be up to two complimentary registration invites available.  Any speaker that does not receive a complimentary registration invite will receive a discounted registration.
  • If there is an SAP Customer and an SAP Employee listed, there will be up to two SAP Customer speakers eligible for complimentary registration invites. SAP Employees, please see above. 
Note: “Customer” is defined as ASPUG Customer Member: Licensed SAP customers who are actively involved in installing and operating SAP software within their own businesses. This means that they are SAP customers and are the people who run and use SAP daily.

Presentations without a Customer
  • If there is an SAP Employee and an SAP Partner listed, one SAP Partner speaker will be eligible for complimentary registration, all other SAP Partner speakers will receive a discounted registration invite. SAP Employees, please see above.
  • If there are only SAP Partner speakers listed, there will be one complimentary registration invite available.

Roundtable Discussions

  • Roundtable discussions are not eligible for complimentary registration passes. All SAP Customer and SAP Partner speakers will be eligible for discounted registration invites.
  • SAP Employees, please see above.

Interactive Influence Sessions

  • SAP Customer influence chair on the session will be eligible for a complimentary registration.
  • SAP Employee supporting session, please see above.

Please Note...

  1. Complimentary registration passes are nontransferable.
  2. Passes cannot be claimed by anyone other than the intended speaker to whom it was provided.
  3. Eligible speakers will receive only one complimentary registration pass, regardless of the number of sessions they are presenting at the event.
  4. Speakers who are eligible for a complimentary pass through other event roles (i.e., exhibitors, volunteers, etc.) will not receive an additional complimentary speaker pass, nor are they permitted to transfer their “speaker pass” to someone else.
  5. Once complimentary passes have been distributed, any speaker substitutions or changes will be applied on a 1-out-1-in ratio.
  6. These same rules and restrictions apply to discounted registration invites.

Educational Integrity Policy

All presentations are to be of an educational nature and should not be used to promote products or services. ASUG bylaws and policies prohibit all sales activity, direct and/or indirect solicitation, and any marketing messages from being conducted in sessions. During your presentation as a speaker at 2019 ASUG Annual Conference, you are required to:

  • Refrain from any reference of your company's products or services or products and services provided by any companies you have a business relationship with or will profit from, and not to include any information that would be considered marketing.
  • Refrain from distributing marketing materials (i.e. products, logo material, etc.) to participants in your presentation.
  • Refrain from any badge scanning, sign-in sheets, or any other means of collecting participant information. (It is recommended, instead, that you share your contact information and invite participants to reach out to you.)
  • Maintain a professional demeanor, including refraining from improper language or conduct when interacting with class participants. Proper professional conduct, marketing content, and language will be judged by the sole discretion of ASUG.
